Welcome to AccrediZone. These Terms and Conditions ("Terms") govern your access to and use of the AccrediZone platform, website, software, applications, and services ("Services"). By creating an account, subscribing, purchasing a licence, or using the Services, you agree to be bound by these Terms.

1. Definitions

AccrediZone means the AI-powered event accreditation and access management platform operated by AccrediZone. Client means the organisation or individual purchasing or using the Services. Users means authorised employees, contractors or representatives of the Client. Delegate means any attendee, visitor, exhibitor, VIP, media representative or staff member accredited through the platform. Event means any conference, exhibition, meeting, festival, sporting event or gathering managed using AccrediZone.

2. Services

AccrediZone provides software and related services including, but not limited to:

Online accreditation Registration management Badge generation Badge printing QR Code generation Access control Zone-based permissions Delegate management Visitor management Attendance tracking AI-assisted event intelligence Security monitoring Reporting and analytics

Certain features may only be available under selected subscription plans.

3. Account Registration

The Client agrees that:

all registration information is accurate; authorised users will maintain password confidentiality; account credentials will not be shared with unauthorised persons; the Client is responsible for all activity occurring under its account.

AccrediZone may suspend accounts suspected of fraudulent or unauthorised use.

4. Subscription and Fees

Services may be offered:

Monthly subscriptions Annual subscriptions Event-based licences Enterprise agreements

All fees are payable in advance unless otherwise agreed in writing.

Subscription fees are non-refundable except where required by applicable law.

5. Payment

Payments may be processed through approved payment providers.

The Client authorises AccrediZone to:

charge applicable subscription fees; renew recurring subscriptions where applicable; suspend services for overdue accounts.

Taxes, VAT and statutory charges are payable where applicable.

6. Trial Services

Trial accounts are provided "as is" without warranty.

AccrediZone may limit:

number of delegates storage features event duration

Trial services may be discontinued at any time.

7. Client Responsibilities

The Client is responsible for:

accuracy of delegate information; obtaining necessary consent from delegates; compliance with applicable privacy laws; ensuring badges are issued only to authorised persons; securing badge printers and scanning devices; maintaining appropriate internet connectivity during events.

8. Personal Information

The Client confirms it has lawful authority to collect and process personal information uploaded into AccrediZone.

Personal information may include:

names photographs identification numbers email addresses telephone numbers organisation details accreditation status

AccrediZone processes such information in accordance with its Privacy Policy and applicable data protection legislation, including the Protection of Personal Information Act (POPIA) where applicable.

9. Badge Security

Clients acknowledge that:

badges should be securely issued; lost badges should immediately be revoked; duplicate badge printing should be controlled; QR codes should not be publicly distributed unless intended.

AccrediZone is not responsible for badges issued fraudulently by authorised users.

10. AI Features

Certain Services make use of Artificial Intelligence.

AI-generated recommendations, alerts, analytics and insights are provided to assist operational decision-making and should not be relied upon as the sole basis for security or business decisions. The Client remains responsible for all operational decisions.

11. Availability

AccrediZone aims to maintain high service availability.

However, uninterrupted access cannot be guaranteed.

Temporary interruptions may occur due to:

maintenance upgrades internet failures third-party provider outages force majeure events

12. Acceptable Use

The Client shall not:

use the platform for unlawful purposes; upload malicious software; attempt unauthorised access; interfere with platform security; reverse engineer the software; resell the Services without written approval. Violation may result in immediate suspension.

13. Intellectual Property

All software, trademarks, branding, designs, source code, workflows, AI models, documentation and platform content remain the exclusive property of AccrediZone.

Clients receive a limited, non-exclusive licence to use the Services during the subscription period.

14. Data Ownership

The Client retains ownership of delegate and event data uploaded to the platform.

AccrediZone may process such data solely for:

delivering the Services; platform improvement; security; support; legal compliance. Aggregated and anonymised usage statistics may be used for analytics and product improvement.

15. Backups

AccrediZone performs routine backups; however, Clients are encouraged to export important event data before event completion. AccrediZone shall not be liable for data loss arising from factors beyond its reasonable control.

16. Third-Party Services

The platform may integrate with:

payment gateways badge printers QR scanners email services SMS gateways access control systems external authentication providers AccrediZone is not responsible for failures or downtime of third-party services.

17. Limitation of Liability

To the maximum extent permitted by law: AccrediZone shall not be liable for:

indirect damages; consequential losses; loss of profits; loss of goodwill; business interruption; loss arising from internet failures; security incidents caused by Client negligence. Total liability shall not exceed the fees paid by the Client during the twelve (12) months preceding the claim.

18. Indemnity

The Client agrees to indemnify and hold harmless AccrediZone against claims arising from:

unlawful use of the Services; inaccurate delegate information; copyright infringement by uploaded materials; violation of applicable laws; misuse of issued credentials.

19. Suspension and Termination

AccrediZone may suspend or terminate Services where:

payment is overdue; these Terms are breached; fraudulent activity is suspected; use poses security risks; required by law.

20. Confidentiality

Both parties agree to keep confidential all non-public business, technical and commercial information obtained through the relationship.

21. Force Majeure

Neither party shall be liable for delays or failures caused by circumstances beyond reasonable control, including natural disasters, strikes, government actions, cyberattacks, pandemics or telecommunications failures.

22. Changes to Services

AccrediZone may modify, improve or discontinue features to enhance the platform. Reasonable notice will be provided where material changes affect subscribed services.

23. Changes to Terms

These Terms may be updated from time to time. Continued use of the Services after publication of revised Terms constitutes acceptance of the updated Terms.

24. Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of the Republic of South Africa. Any disputes shall be subject to the jurisdiction of the South African courts.
